Getting started

Does Cin7Flow work with DEAR Inventory?
Yes. Cin7 Core is the new name for DEAR Inventory (DEAR Systems). Cin7Flow connects through the Cin7 Core API, so if you log in to Cin7 Core today, it works with your account.
What do we need from Cin7?
A Cin7 Core account with API access. You create an API application in Cin7 Core under Integrations, then enter its Account ID and key in your Cin7Flow login. We never need your Cin7 password.
Is Cin7Flow a self-service app?
Not quite. We set up and test every flow with your real files, because every trading partner does things a little differently. Once it's live, your team logs in to see what's happening, fix held orders and keep the mappings up to date.
How long does it take to go live?
Most flows are live within two to four weeks. Most of that time is testing with real files and waiting on the partner's server details, not building.
Can we run it alongside manual entry first?
Yes, and we recommend it. During a parallel run orders arrive in Cin7 as drafts, your team compares them with the ones they keyed, and when you're happy we switch the flow to authorised.

How it works

Which file formats can it read?
JSON and CSV order files, Excel and CSV spreadsheets for stock transfers, and pipe-delimited files for partners that need them. Each partner's file is read through its own field map, so a new layout is usually set up rather than coded.
How do files get to and from our partners?
Over SFTP, with a password or a private key, or over FTP and FTPS. Flows check on a cycle, once a day at a set time, or only when you press Run.
What happens when an order has a problem?
It's held, not lost. The order waits in Pending with a plain-English reason, like a SKU that isn't in Cin7 or a price outside your tolerance, and the right person gets an email. Fix the cause, press Try again, and it goes through.
What if a partner sends the same order twice?
Cin7Flow compares the resent file with the sale already in Cin7. If nothing changed, it's filed quietly. If something changed, it waits for you with the differences listed, and you choose: void the original and import the new one, import it as a second sale, or ignore it.
Can it send invoices back to the partner?
Yes. Invoices are written in the partner's format once a sale is invoiced, or held until the goods are despatched so the file carries tracking. Voiding a sent invoice can send a cancellation. Despatch advice (ASN) files are coming soon.
Can our team change things themselves?
Your team can update cross-references for SKUs, customers, locations and tax, update connection passwords, pause and restart flows, and fix held orders in a simple form. Changing how a flow works stays with us, so a well-meant change can't stop orders arriving.

Hosting and security

Where is Cin7Flow hosted?
On Fly.io servers in Sydney, with the database in the same region.
How are our passwords and API keys stored?
They're encrypted before they're saved and never shown again once entered, not even in our own dashboard. Each client only sees its own flows, files and logs.
Our partner needs to whitelist an IP address. Is that possible?
Yes. Connections to partner servers come from a fixed IP address, so your partner can allow it through their firewall.
What happens when you update the platform?
We hold new work before an update, let anything in progress finish, and each flow picks up where it left off afterwards. Flows that read from Cin7 remember how far they got, so nothing is skipped or sent twice.

Pricing

What does it cost?
Flow setup starts at US$1,500, then hosting and monitoring is US$199 a month per flow, which includes 30 minutes of support time. Prices are in US dollars, including GST.
Can we pause a flow we only need sometimes?
Yes. A flow you only need now and then, like stock transfers for a warehouse move, can be paused when the job is done and reactivated later for a small fee, without a new setup.
What happens if our partner changes their file format?
Tell us, or we'll spot it when files start failing. We quote the change first, then update the field map and test it with the partner's new files.

EDI

What is EDI?
EDI, or electronic data interchange, is two companies' systems exchanging business documents such as purchase orders, invoices and despatch advice as files in an agreed format, instead of by email or a portal. For a supplier it usually means your retailer's orders arrive as files and they expect files back.
Do we need an EDI provider?
That's up to your retailer. Some exchange files directly over SFTP. Others require an EDI network provider, which delivers their documents to you as files. Either way, Cin7Flow picks up the files and does the Cin7 side.
Which retailers do you support?
Tradelink and Mitre 10 are both live today. If your retailer exchanges files over SFTP or FTP, we can usually build their flow too. Tell us who it is and we'll check their specification.
We already run EDI through Make. Can you move it?
Yes. We move EDI flows from Make onto Cin7Flow. We compare the new files with the ones your partner already accepts, line by line, and protect the cut-over so nothing that was already sent goes again.
What does EDI cost with Cin7Flow?
Flow setup starts at US$1,500, then hosting and monitoring is US$199 a month per flow, in US dollars, including GST. Your retailer or EDI provider may charge their own fees as well.
